Email Settings in the LINK App

Productivity Tips: Look for the for features which especially aid productivity.

LINK Email version: This is the version of the server software.

Email Notifications

Here, select push notifications for various types of emails. Then select the alert sound for Regular and VIP emails. More on VIP below in Swipe Settings.

Note: First make sure that Email Notifications are turned on in iOS or Android.

Appearance & Navigation

-Organize mail by thread

-Enable selection mode on long touch? This enables a way to select one or more emails. From the Inbox, long touch an email. Check boxes will appear on the left of each email. Tap the box for each email which you would like to select. Then, select an action, e.g., Delete or File from the icons above the Inbox, or, swipe on one of the selected emails to choose an action which will apply to all selected emails. (Configure the swipe menus as shown below.)

-Show selection toggles: Always = display the check boxes to the left of each email. Selection Mode = only display the check boxes when Selection Mode is activated by a long touch, as above.

 

-Insert margin when viewing an email message: This refers to the space from the margin of an open email to edge of the screen. For greater margin, use Large.

-Display mail folder hierarchy as: Hierarchy, in which folders are nested in Folders and Subfolders, or, Flat, in which all Folders are displayed in a long list. Note: The search bar in LINK Folders will find Subfolders in addition to Folders.

-Minimum count…: In LINK Folders there is a folder “Filing History” for all recently filed emails. If you misfile or forget where you files an email, locate it in this Folder. Set the number of emails to be stored in the Filing History folder here.

-Show preview: Preview displays 2 lines of the email in the Inbox. Hide displays Sender and Subject only.

-Preview lines: Select number of lines to display in Inbox Preview, 1, 2, or 3.

-Show attachment buttons: For quick view of attachments, LINK can display a button for attachments in the Inbox. Turn off/on here.

-After deleting a message go to the: Next, Prior, List

 

 

 

-Text size: Especially useful on phones.

-Swipe Settings

Select three left swipe menu actions (right to left swipe).

Select two right swipe menu actions (left to right swipe).

Options are: Delete, File, Flag, Unread, Forward, Reply, Reply Menu, VIP, Archive, None.

Note on VIP: LINK has its own VIP status.

You can label a sender as a VIP by swiping to the right on an email from them, then tapping on VIP.

Or, from an open email, tap the VIP button.

Then, above, set a separate tone for VIP notification alerts.

This is a good way to always hear when an email from a key client or manager is received.

 

-When filing emails to DMS: When an email is filed to a DMS folder, should it be removed from the Inbox? Yes, No, or Ask via a pop-up.

-Open files in split screen mode (Tablets Only): Files will be displayed in split screen when Blue/On.

-Disable haptic feedback on tap: Haptics for tapping on major actions are on by default. Toggle to Blue/On to turn-off haptics.

-Show last sync time in the header under the folder name: Under the Inbox folder name, the most recent sync time will be displayed when set to Blue/On.

-Enable send and file by default: To turn on send and file for all email sends, toggle to Blue/On. Note: The Sender can turn off per composed email, by tapping the Green/On envelope icon to turn to black.

-When sending a redline: Rarely used.

-When sending redline and clean. Rarely used.

Tasks

-Hide completed tasks: This refers to the Outlook tasks in LINK. From the Inbox, Tap More, Open Tasks.

Calendar

-Include me in free/busy listing? * In the LINK calendar, new Event, tap the calendar icon with an X on it to see Free/busy. Set to Blue/On to see your events.

-Retain the last calendar view: This means, for instance, if I was last in Week view, the calendar will re-open to Week view.

-Show events from my device calendar in LINK: * Toggle to Blue/On to see events from the iOS calendar in the LINK calendar.

Contacts: Display First Last / Last First

Automatic response status

First, tap Enabled.

Enter your message in the body below.

This response will automatically be sent to Internal Senders.

Reply to External Senders

To also send to External Senders select, Contacts Only, or All. None will not send an external message.

Be sure to Save your signature by tapping the Diskette in the upper right of this page.

 

 

 

 

 

 

 

 

 

Signature

To change your personal signature, write your message in the body of the section, as shown.

Be sure to Save your signature by tapping the Diskette in the upper right of this page.

Tap Restore Default to return to your default signature.
